Admin Controller / Receptionist – Walvis Bay

About the role

This position supports the Admin Controllers in the Container Department, handling reception, documentation and administrative tasks at the Walvis Bay depot.

Key responsibilities

• Perform normal reception duties, including refreshments and switchboard coverage when needed.
• Process and reconcile job cards/trip sheets using Excel and ensure timely follow‑up on any errors.
• File and manage trip sheets, gate in‑out records, fleet control documents and driver paperwork.
• Reconcile monthly container stock counts and report discrepancies to the manager.
• Create orders in SAP, follow up on invoices and send verified vehicle checklists to the workshop.
• Assist with ISO compliance, ordering stationery and handling customer queries.

Required profile

• Namibian citizenship with Grade 12 education and a valid Code B driver’s licence.
• Experience in the transport industry and familiarity with border documentation is an advantage.
• Strong interpersonal, communication and organisational abilities.
• High attention to detail, ability to work under pressure and meet strict deadlines.
• Integrity, sober habits and a valid police clearance certificate (≤3 months old).

Required skills

• Proficiency in Microsoft Office, especially Excel.
• Experience using SAP (preferred).
